Background to the project
The customer is in the process of moving their legacy IT estate to a more cloud-based and agile way of working utilising Microsoft 365. They needed a partner to help them to understand their estate and make the most of their Microsoft 365 investment and license position, while improving security posture.
The initial priority was security and compliance of their email infrastructure to move from the legacy Exchange 2010 platform which ran on Windows 2008 to the new Office 365 Outlook programme. However, they also wanted to engage with a partner who could help them achieve their broader digital transformation vision.
The Head of Technical Services explains: “We needed to understand what our users need in terms of software, what the tools are in Microsoft 365 that will be beneficial to the business, and how we can improve our security and compliance in line with the latest regulations. Essentially, it was about laying the foundations for the future.”

About the customer
The customer is one of the largest acute healthcare organisations in England, serving a population of over 720,000 people. The organisation comprises four hospital sites which provide a range of inpatient and outpatient services.

Trustmarque ran a Microsoft funded Business Productivity Assessment (BPA) to identify key areas where the customer could optimise their Microsoft 365 position. The recommendations of the BPA included the following:
Trustmarque FastTrack Ready Service
As a Microsoft FastTrack partner, we supported the customer to implement key apps and services within the Microsoft 365 suite. The initial priority concentrated on migrating their on-premise email solution, Exchange 2010 (which was due to go end of support) to the new Exchange Online platform. This Microsoft 365 adoption support is now extending to areas like SharePoint, Teams & native security features.
Power Platform – HR electronic forms and process automation
We identified a proof of concept opportunity to streamline the outdated, manual HR processes by utilising PowerApps, SharePoint lists and PowerBI. The solution helped to automate the entire process, providing greater visibility and control and helping to save both time and money.
User profiling and licensing review with Prism
We utilised Prism, a bespoke business intelligence asset management tool developed by Trustmarque, to help them understand the intricate software needs of their large and diverse workforce. Prism was able to identify what licenses are required by who – taking into account vast differences in the way people work and the tools they need.
InTune device security management
We identified that InTune, Microsoft’s mobile security solution, would deliver on their strategic direction on security, compliance and control as they begin to adopt more cloudbased apps and services. InTune has enabled their users to self-enrol devices and work on the apps they need, while remaining compliant with data protection regulations.
It was important for Trustmarque to leverage current investments to reduce Total Cost of Ownership (TCO) by identifying cost savings through the adoption of technology available through Microsoft 365.

Outcomes and Feedback
According to the Head of Technical Services, while the initial goal centred on email migration, the BPA workshop carried out by Trustmarque was “the catalyst” for many areas of improvement, allowing them to automate process, improve security posture and start to leverage the benefits of Microsoft 365.
They revealed: “There have been a lot of benefits off the back of moving email to Office 365 in terms of wider accessibility and compliance. SharePoint, email and Flow all work so much better when everything has moved and integrated into the Office 365 platform.
